Search "free invoice template" and you'll get thousands of downloadable Word docs, Excel sheets, and PDFs. They all technically work, but each format comes with its own maintenance problem once you're sending more than the occasional one-off invoice.

Word template

Easiest to open and edit, and easiest to make look unprofessional — a misaligned table cell or inconsistent font after the third manual edit is the most common failure mode. Math (subtotals, tax, totals) has to be calculated by hand or with a manually-inserted formula field, which is easy to forget to update.

Excel template

Better for the math — line-item totals, tax, and grand totals can be formula-driven so they update automatically. The trade-off is that a client opening it in a different spreadsheet program (or on mobile) can see a broken layout, and accidentally overwriting a formula cell instead of a data cell is a recurring mistake.

PDF template

The right format to send — it renders identically everywhere and can't be accidentally edited by the recipient. It's the wrong format to build from scratch by hand, since most PDF editors aren't designed for laying out a table from nothing.

The pattern behind all three

Every static template has the same limitation: the layout is fixed, but your business details, tax rules, and numbering aren't. You end up re-typing your business name, re-checking the tax math, and re-formatting broken tables every single time — for every invoice.

A faster way to get a PDF invoice

Our Invoice Generator fills the Word/Excel/PDF gap at once: you enter details in a form, the math is calculated automatically, and it exports as a clean, ready-to-send PDF — no template file to keep track of or accidentally corrupt.
